Lead Management Automation

Leads slip through the cracks. They always do.

There's no-one on your team who isn't trying — there are just too many leads, from too many places, and they all look the same. We build the layer that captures every enquiry, deduplicates, routes, and follows up when humans don't have time. Running today for a Swindon home improvements firm doing real volume.

Talk to us How we work

You're not losing leads because your team is bad at their job.

You’re losing them because the work has crossed a threshold no human team can hold. The leads come from too many places — the website form, the contact us inbox, the sales line, the Facebook page, the partner referrer, the trade show list. Each one arrives in a different shape. Each one needs to be checked against everything else to see if it’s a duplicate, a returning customer, a tyre-kicker or the real thing.

Whoever does this in your business is doing it manually because nobody has been able to fit the work into a CRM workflow. The CRM was built for uniform, neat leads. Most businesses don’t have neat and tidy leads. Leads can arrive at 11pm on a Sunday with the customer’s surname misspelt, no postcode, and a phone number that turns out to belong to someone who asked for a quote two years ago.

And the cost of getting it wrong is more than a small embarrassment. It’s a quote that doesn’t go out in time, when a competitor’s quote does, which means the opportunity is lost. We’ve sat with operations directors who give us specific examples of instances when this has happened.

The thing about lost leads is that you don't know they're lost.

A lead that never gets a follow-up doesn’t generate a complaint. It just disappears. There’s no entry in the CRM saying “we forgot about this person.” There’s a sales report at the end of the month that looks the same as the month before, and a small, invisible amount of revenue that should have been there isn’t.

Most of the businesses we sit down with discover, when we count, that the gap between leads coming in and leads being followed up properly is much wider than they thought. Not because anyone is slacking. Because the work has outgrown the people doing it, and nobody has had the time to step back and notice.

If this is the shape of your problem, the next two sections explain what we’d typically build. Note: we don’t tell you exactly how, because that’s what you’d pay us for. But we do explain enough that you’ll recognise whether it’s the right thing for your situation.

“AIAS looked at how we were handling leads and showed us exactly where we were losing time. They built a system that now does in seconds what used to take us hours every week. No fuss, no jargon — just a practical solution that works.”

Two layers, one system.

Lead management is a perfect example of why neither pure rules nor pure AI is enough on its own. The plumbing has to be deterministic. The judgement has to be intelligent. We build them together.

Rule-Based

What the rule-based layer does

Captures every enquiry the moment it lands, normalises the data into a consistent shape, deduplicates against existing records, routes by region or product, logs everything, and never forgets. It runs at machine speed, twenty-four hours a day, and you can audit every step.

Examples

  • Pulling form submissions and inbox messages every minute
  • Matching new enquiries against existing CRM records
  • Routing leads to the right salesperson by territory
  • Sending the standard acknowledgement reply within seconds
  • Logging every action with a timestamp the team can trust
Agentic AI

What the agentic AI layer does

Reads the messy, free-form parts of the lead — the description of what the customer wants, the tone of the message, the context from prior emails — and applies the kind of judgement an experienced salesperson would. It explains its reasoning so you can review and trust the output.

Examples

  • Reading the enquiry text and classifying urgency
  • Spotting that an enquiry is from a returning customer even if the email is different
  • Drafting a follow-up message that suits the tone of the original
  • Flagging quotes that have gone quiet and need a human nudge
  • Identifying the leads from the day that need attention now
We Run This Pattern Ourselves

We process around 200 inbound emails a day on systems we built using exactly this approach.

Triage, deduplication, urgency scoring, automatic acknowledgement, follow-up nudges — all combined rule-based and agentic, all running in production every day. It's how we know what works and what doesn't, and it's why we can show up to your assessment with a working pattern instead of starting from theory.

What businesses ask us about lead management automation

“Will it replace our salespeople?”

No. It handles the work salespeople shouldn't be doing — sorting, checking, routing, basic follow-ups — so they can spend time on the work only humans can do. The salespeople we've worked with end up more productive, not less busy. They just spend their day on warm leads.

“Will it work with our existing CRM?”

Almost always, yes. We build the system around the tools you already use. We don't ask you to change CRM. If your CRM genuinely can't be made to work, we'll tell you why and we'll suggest a way to fix it.

“What about leads that come in by phone?”

Phone enquiries are the hardest, but they're also the most important. We build the rest of the system first — web, email, forms — and then add a structured way for the phone team to log calls into the same pipeline. Most clients don't fix the phone problem on day one; they fix it once everything else is working and the gap is obvious.

“How long does it take?”

From first conversation to live system is usually a few weeks, depending on how many sources of leads need to be plumbed in. The first version is always the smallest useful slice; we add to it from there.

“What does it cost?”

It depends on the scope. The paid assessment ends in a fixed-price build estimate. Most lead-management projects are well under what one missed quarter of leaks would cost the business.

“How do we know it's working?”

We generate a simple weekly summary that tells you what came in, what went out, and what needed human attention. You can read it in two minutes. If the numbers don't match what you expected, we want to hear about it — that's how the system gets better.
